This Privacy Policy explains how PROPORIO SRL ("Proporio", "we", "us") collects, uses, shares and protects personal data when you visit propor.io or use the Proporio platform (the "Service"). We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and applicable national law.

1. Who is the data controller

2. What data we collect
- Account data — name, email, phone, password (hashed), workspace and role.
- Property & management data — information you enter about properties, leases, tenants, contracts, finances, repairs, meters and documents.
- Communications — emails and messages processed through the platform, including by the AI Cockpit, and support requests.
- Usage & technical data — IP address, device/browser type, pages viewed, and similar log data.
- Billing data — handled by our payment provider; we do not store full card numbers.
When you enter data about third parties (e.g. tenants, owners, service providers), you are responsible for having a lawful basis to do so and for informing them as required.
3. Why we use it & legal bases
- To provide the Service (contract — Art. 6(1)(b) GDPR).
- To operate AI features such as email triage and suggested actions, always with human review (contract / legitimate interest — Art. 6(1)(b)/(f)).
- To secure and improve the Service (legitimate interest — Art. 6(1)(f)).
- To send service and, with consent, marketing communications (consent / legitimate interest — Art. 6(1)(a)/(f)).
- To comply with legal obligations (Art. 6(1)(c)).
4. Who we share it with
We share personal data only as needed with:
- Hosting & infrastructure: Google Cloud Platform / Firebase (EU region) and Google API services.
- AI processing used by the Cockpit: OpenRouter, OpenAI, Anthropic and Google, under data-processing terms.
- Email delivery: Twilio SendGrid.
- Payments: Stripe.
- Messaging, analytics & advertising: Meta Platforms / WhatsApp and Google (Analytics & Ads).
- Other users of your workspace, according to the access you grant them.
- Third parties you choose to share with — always with your consent — such as property-listing platforms, tenants, syndics or other people you select.
- Authorities or others where we are legally required to.
These providers act as our processors under Art. 28 GDPR. We do not sell your personal data.
5. International transfers
We host and process personal data within the European Union / EEA. Some of our processors (e.g. Stripe, SendGrid, Meta, Google) belong to international groups and may, in limited cases, process data outside the EEA; where that happens we rely on appropriate safeguards such as the EU Standard Contractual Clauses and/or the EU–US Data Privacy Framework. 6. How long we keep it
We keep personal data for as long as your account is active and as needed to provide the Service, then for the periods required to meet legal, accounting and tax obligations, after which it is deleted or anonymised.
7. Your rights
Subject to conditions, you have the right to access, rectify, erase, restrict and port your data, to object to certain processing, and to withdraw consent at any time. To exercise these rights, contact info@proporio.com. You also have the right to lodge a complaint with your supervisory authority — in Belgium, the Data Protection Authority (APD/GBA).
8. Security
We use technical and organisational measures — encryption in transit, access controls, audit logging and least-privilege access — to protect personal data. No system is perfectly secure, but we work to protect your information and to notify you and the authorities of breaches where required.
